Privacy notice

This notice explains how QUINZERIAN handles personal information when you contact us or choose to take part in our research.

Who is responsible

QUINZERIAN is responsible for personal information it receives directly through its public contact channels and research activities in Ghana.

What we may receive

We may receive your name, role, school, contact details and information you choose to share about your school, its operations and your experience of running it.

A research interview may also produce written notes, a transcript or an audio recording where you have given permission.

Our current research is intended for adult school owners, proprietors, administrators and leaders. It focuses on institutions, not individual pupils.

Please do not send pupil records, passwords, financial credentials or other highly sensitive information through the public website, email or WhatsApp.

Why we use information

We may use information you provide:

  • To respond to an enquiry and arrange a conversation.
  • To determine whether the research is relevant to your school.
  • To conduct research you have agreed to take part in.
  • To check or clarify what we have understood.
  • To identify patterns and improve future research, proposals or pilots.
  • To meet legal, safeguarding or security responsibilities where they apply.

Research participation and permission

Taking part in research is voluntary.

Participation does not by itself give QUINZERIAN permission to record you, quote you publicly, or identify you or your school.

Audio recording, quotation use, attribution and publication of identifiable information require clear permission.

Choosing not to be recorded does not prevent an initial conversation.

Storage, transcription and access

Access to identifiable research information is limited to the person handling the research unless additional authorised people are needed for the agreed work.

Research information may be stored using third-party cloud services.

Where permission has been given for an audio recording, an AI-assisted transcription service may be used to produce a written transcript.

The specific service providers may change. Relevant information about external processing should be communicated where appropriate.

How long we keep information

Raw audio recordings will be kept for up to 12 months and then deleted.

Research notes and transcripts may be retained while they are needed for the research. Where research material is retained for longer-term research, identifying information will be removed or anonymised where appropriate.

Anonymised research material may be retained for longer where it remains useful for legitimate research purposes.

Ordinary enquiries are kept only as needed for the conversation or reasonable follow-up. Messages may remain within third-party services such as WhatsApp or email according to those services and account settings.

Publication and identification

QUINZERIAN may publish anonymised findings drawn from its research.

Quotations may be used only where the participant has agreed to quotation use.

A participant or school will be publicly identified only where clear permission has been given for that identification.

Third-party services

WhatsApp, email providers, cloud storage providers, transcription services and other services used to communicate or conduct agreed research process information under their own terms and privacy practices.

The illustrative-brief request form prepares a WhatsApp message on your device. The website does not store the completed form. Your details are transferred when you choose to send that message through WhatsApp.

QUINZERIAN does not control those services.

Please use public contact channels to begin a conversation, not to transfer confidential school records or other highly sensitive information.

Your rights and choices

You may contact QUINZERIAN to ask what personal information is held about you, request access to it, ask for inaccurate information to be corrected, object to certain processing, withdraw from future contact, or request deletion where applicable.

For research information, withdrawal remains possible until the withdrawal point communicated for the study.

Information that has already been irreversibly anonymised or combined into findings that can no longer be separated may no longer be capable of being withdrawn.
